Lessons Learned: Running meetings at the Cafe

Welcome! The London Bicycle Cafe is a unique space where great coffee & food meets a love for community and cycling. We love hosting meetings that align with the welcoming, community-driven spirit of our space. To ensure everyone enjoys their time here, we’ve outlined some best practices for meetings that work well in our cafe.

Great Meetings for the Cafe

  • Casual brainstorming sessions over coffee and pastries.
  • One-on-one or small team check-ins in a relaxed setting.
  • Planning meetings for sustainability-focused projects that align with our mission.
  • Networking chats or informal meet-ups with fellow cyclists and community members.

Meeting Times That Work Best

To ensure a comfortable experience for all, meetings are best scheduled at these times:

  • Weekdays: 9:00 AM – 11:00 AM or 2:00 PM – 5:00 PM. Our lunch and dinner service are important times for our business as we serve seated meals and need to keep our limited seats free as possible. 
  • Weekends: We encourage social visits but find it challenging to accommodate formal meetings as these are our two busiest days of operation.

The cafe is open seven days a week from 9:00 AM to 9:30 PM. If you’re planning a meeting, a quick heads-up is always appreciated! If we know you’re coming, we can arrange a table to make your meeting more comfortable.

Size & Space Considerations

  • Our space is ideal for meetings of up to 12 people.
  • Please choose seating that allows for easy movement and customer access.
  • If you need a larger space, let’s chat—we might be able to suggest alternatives!

Supporting the Cafe

  • We ask that each attendee enjoy at least one food or drink item—it helps us keep the cafe running smoothly for everyone.
  • Outside food and drinks aren’t permitted, but we have plenty of great options on our menu!

Keeping the Cafe Atmosphere Enjoyable

  • The vibe of the cafe is relaxed and inviting, with background music played at a comfortable 65 dB.
  • Keep voices at a friendly level so everyone can enjoy their time here.
  • Meetings should wrap up within 90 minutes to ensure space is available for others.
  • Be mindful of technology—laptops and equipment should fit within your space without disrupting others.
